Turnaround times
These times may vary as our team evolves and establishes more processes, but for now, here are the expected turnaround times on frequently requested projects. This factors in current team capacity and proper planning and execution:
- Booklet: 6 weeks before sending to print
- Highlight or testimony video: 6 weeks before posting
- Sermon series: 4 weeks prior to promotion beginning
- Event graphic: 4 weeks prior to promotion beginning
- Event photographer/videographer: 4 weeks before event date
- Email: 2 weeks before sending
- Social media: 2 weeks before posting
- Printed handout: 2 weeks before sending to print
- Program or stage announcement: 2 weeks before Sunday promotion
Process
- Request submitted
- Jon receives form, reviews it, and has conversations with Kari and Katie on Monday morning to confirm if it’s doable
- Request is reviewed within the week and responded to.
- If project is approved, Jon confirms who will be working on it, and confirms the original due date or new due date
- Details will be sent in a Slack message from Jon to the requestor and Kari/Katie
- If project is denied, Jon sends requestor a private message
- If projects needs revising, a Slack message from Jon will be sent to the requestor with suggestions/revisions
- Katie evaluates whether a kickoff/touchpoint meeting needs to be scheduled
- Sermon series graphics and major events always needs a kickoff meeting
- Give instructions to ministry/requestor with what they need to come prepared with
- If not, start on project
- Round 1 - Initial concept created and sent for review
- Approved as is (GREEN)
- Approved with changes (ORANGE)
- Change and resubmit (RED)
- Round 2 - Check for errors (make sure everything is correct) and approve design
- Approved as is (GREEN)
- Approved with changes (ORANGE)
- Change and resubmit (RED)
- Round 3 - Sending final files
- Final deliverable sent to ministry for printing/uploading
- Comms. Team adds it to Arts Drive for archiving
- Add Drive link to Asana project and complete project
- Any revisions after final delivery are to be submitted as a separate Asana request
